Why SharePoint and Google Drive stop working as a media library

DAM vs cloud storage: where Google Drive and SharePoint break as a media library, what a DAM does differently, and why most teams end up running both.

"We already have SharePoint." That sentence has killed more DAM projects than budget ever has. And honestly, it's a fair objection. You're paying for Microsoft 365 or Google Workspace. You've got effectively unlimited storage, granular permissions, versioning and a share button. Why pay again?

Because storage was never the problem. The problem is retrieval, governance and distribution: the three things a general-purpose file store was never built to do for media. Neither column is wrong. They're answering different questions.

Where cloud storage actually breaks

Search only knows what you typed

Drive and SharePoint index text. They'll full-text search a Word document beautifully. Point them at a photo called DSC_4471.jpg and they've got nothing to work with except the filename and the folder it sits in.

Which means every image in your library is only as findable as the discipline of whoever saved it, three years ago, at 6pm on a Friday, after an event. In practice? Filenames are camera defaults and folder names are dates. The library is technically searchable and functionally opaque.

A DAM inverts this. You describe an asset once (partly automatically) and every attribute becomes a way back to it. "Aerial shot of the Antwerp site in winter" is a query a DAM can answer and a shared drive simply can't. AI search in a DAM explains the mechanics.

One file, one place

A folder tree forces a single hierarchy. Does the photo go under the campaign, the year, the location, the product, or the photographer? Whichever you pick, you've just made it hard to find for everyone whose mental model differs from yours.

So teams duplicate. The same image ends up in the campaign folder, the press folder and the website folder: three files, two of which will never be updated when the image is retouched or retired. Metadata and taxonomy is the way out, and it requires a system that lets one asset belong to many things at once.

External sharing has no shape

A shared link is binary: someone has access or they don't. It doesn't expire by default. It doesn't track usage, enforce a download format, or carry usage terms. And it definitely doesn't look like your brand.

For a marketing team, this is the daily job. A journalist needs three press images at print resolution. A reseller needs the current logo pack and nothing else. A regional office needs this quarter's campaign but not last quarter's, which is no longer cleared. A printer needs the CMYK version. Each of those is a governed distribution. On a shared drive, each one becomes a folder-and-link improvisation, usually followed by a "can you re-send, the link expired" email.

Nothing enforces "current"

The expensive failure mode is not a lost file. It's a found one that shouldn't have been used: a pre-rebrand logo, a photo whose model release lapsed, a stock image licensed for one campaign only, a product shot of a discontinued SKU.

Cloud storage has no concept of an asset being retired, expired or restricted. Whatever's in the folder is fair game, forever. A DAM makes approval status and usage rights properties of the asset itself, so the wrong version stops circulating without anyone having to police it.

Media formats are second-class citizens

Try previewing a 200 MB layered PSD, an INDD package, a camera raw or a ProRes master in SharePoint. You'll be told to download it. Multiply that by a review cycle with an agency and you've moved gigabytes to make a yes/no decision.

A DAM generates proxies and thumbnails on ingest, so browsing a video library feels like browsing images, and reviewing a print file doesn't require owning the software that made it.

Storage cost isn't the whole cost

Raw storage is cheap in both worlds. What isn't cheap:

  • Time spent searching, and time spent answering other people's searches
  • Reshooting or re-licensing content the organisation already owns
  • The design hours lost re-exporting the same asset at eight different sizes
  • A brand or legal incident caused by an asset that should have been retired

Where cloud storage is genuinely better

Let's be fair to the other side, because a DAM is a poor replacement for:

  • Co-authoring documents in real time
  • Everyday working files, spreadsheets, internal notes and drafts
  • Desktop sync of a live working folder
  • Anything driven by your identity and Office/Workspace tooling

Which is why the answer for almost every organisation is both, with a clear line between them.

Drawing the line

Here's a rule that survives contact with reality:

If it's a finished piece of content that more than one person may need again, it belongs in the DAM. If it's a work in progress or an internal document, it belongs in Drive or SharePoint.

Practically, that means:

  • DAM: approved photography, video masters and cutdowns, logos and brand kits, campaign creative, event coverage, product imagery, press material, templates
  • Drive / SharePoint: contracts, plans, budgets, meeting notes, drafts, everything the finance and HR teams touch
  • Both, briefly: a shoot in progress lives in the working folder, then lands in the DAM once selected and cleared

The failure mode to avoid is a soft boundary. If half the campaign photography is in the DAM and half is still on the drive, people will keep checking the drive first, and the DAM never becomes the source of truth. The specific cases

SharePoint

SharePoint's strengths (Microsoft 365 integration, IT-managed permissions, document collaboration) are real. And yes, it can be pushed toward DAM behaviour with managed metadata, content types and term stores. Organisations do it. But it typically requires SharePoint expertise the marketing team doesn't have and can't self-serve, and you still don't get visual search, per-asset rights, watermarking or branded external portals.

The pragmatic test: if configuring a new metadata field requires a ticket to IT, marketing will stop maintaining metadata within a quarter.

Google Drive

Drive is the easiest to start with and the hardest to govern at scale. Shared drives improve on personal ownership, but link sprawl is effectively unbounded, there's no asset-level rights model, and search over images is limited to filename plus whatever Google's OCR picks up. For teams under a few thousand assets it's genuinely fine. Past that, "who has access to what" becomes a question nobody can answer.

Dropbox

Dropbox has the best sync experience of the three, and Dropbox Replay is a decent review tool for video. What it lacks is the governance layer: structured metadata, controlled vocabularies, rights, approval states, and distribution that's anything more than a link with a password.

WeTransfer and friends

Not storage at all: a transport. Perfectly good at being one. The trouble starts when transport becomes archive: the photographer's link is the only copy, it expires in seven days, and nobody downloaded it because they were all at the event.

Migrating without a rebellion

The objection you'll hear is predictable: "we'll just have another place to look." Three things prevent that:

  1. Move a whole category, not a sample. All event photography. All logos. Not "the best bits of 2025".
  2. Delete or archive the source. If the old folder still works, it will still be used. Make the drive read-only or move it to cold storage the day the DAM goes live.
  3. Make the DAM faster than asking a colleague. This is the entire adoption battle. If search is good, people switch without being told. If it isn't, no amount of training will help.

Frequently asked questions

Can SharePoint be used as a DAM?

It can store and permission media, and with managed metadata it can approximate parts of a DAM. It does not provide visual or AI search, per-asset usage rights, watermarking, branded external portals, or self-service metadata management for non-technical teams. Most organisations keep SharePoint for documents and add a DAM for creative assets.

Do we have to replace Google Drive or SharePoint?

No, and you shouldn't. They handle documents and collaboration well. A DAM handles the media library. Draw an explicit boundary between the two so people know where to look.

Is Dropbox a digital asset management system?

Dropbox is cloud storage with good sync and some review tooling. It lacks structured metadata, controlled vocabulary, rights management and governed distribution, which are the defining features of a DAM.

When is a shared drive still enough?

When your library is small (roughly under a few thousand assets), a single small team uses it, external distribution is rare, and nobody depends on finding older material. As soon as two of those change, the drive starts costing more than it saves.

Will a DAM integrate with our existing storage?

Most DAMs offer connectors, desktop apps or plugins to move assets between the DAM and Drive, SharePoint, Adobe tools and your CMS. Treat integrations as convenience, not as a way to avoid deciding which system is the source of truth.
