What is digital asset management?

Digital asset management (DAM) keeps your photos, video and documents findable, safe to use and easy to share. What a DAM does, and when you need one.

Somewhere in your team's chat history, probably from this week, there's a message that reads: "does anyone still have the photo of…?" That message is the whole reason this software category exists.

Digital asset management (DAM) is the practice, and the software, of keeping every photo, video, presentation, logo and document your team produces in one place where it can be found, governed and shared. A DAM system replaces the pile of shared drives, hard disks, WeTransfer links and email attachments that most marketing and communication teams accumulate over a decade.

Here's the shortest way I know to explain the difference: cloud storage answers the question where is this file. A DAM answers the question which file do I need. That sounds like a small distinction. It stops being small around the time you hit 400,000 assets and nobody remembers what the photographer called the folder in 2019.

What counts as a digital asset

An asset is any file that carries value beyond its bytes. For a marketing or communications team, that usually means:

  • Photography: campaign shoots, product shots, event coverage, portraits, drone stills
  • Video and audio: finished edits, raw footage, podcast masters, social cutdowns
  • Documents: presentations, brochures, whitepapers, press releases, annual reports
  • Brand material: logos, typefaces, colour specs, templates, brand guidelines
  • Design and working files: layered PSDs, InDesign packages, Figma exports, camera raws

Why does the definition matter? Because it defines what your system actually has to handle. A tool that indexes PDFs beautifully but chokes on a 4GB ProRes file isn't managing your assets. It's managing your paperwork.

What a DAM system actually does

Strip away the vendor language and most DAM platforms are built around four jobs. If a tool doesn't do all four, it's a file store with a nice interface.

1. Ingest

Assets arrive from photographers, agencies, colleagues and events, and a DAM gives each of those sources its own way in. Drag-and-drop for you, a public upload link for the photographer, a Lightroom plugin for the pro who lives in their catalogue. The point is to apply structure at the moment of arrival, not six months later when nobody remembers anything. Collecting work from agencies and photographers covers how that pipeline gets built.

2. Organise

This is where DAM diverges hardest from cloud storage. Instead of one folder path per file, a DAM attaches metadata: what the asset shows, which campaign it belongs to, who's in it, where it was shot, and (crucially) whether you're allowed to publish it. One asset can then live in every context that applies to it at once. Metadata and taxonomy is the discipline behind this, and it's the part teams most often get wrong.

3. Find

Search is the reason people adopt a DAM. It's also the reason they abandon one. Modern platforms combine keyword and metadata search with AI retrieval: describe an image in plain language, search the text inside images, find every photo of a specific person, surface visually similar shots. 4. Share and govern

Assets have to leave the library eventually: to a journalist, a printer, a regional office, a website. A DAM handles that exit with curated galleries, permission scopes, expiry dates, download presets and an audit trail. Compare that with what usually happens: an unbounded Drive link that will still be in circulation four years from now.

Who needs a DAM, and when

There's no magic asset count that triggers the need. The reliable signals are behavioural, and you'll recognize them immediately if you have them:

  • Someone asks in a group chat "does anyone still have the photo of…" more than once a week
  • The same shoot exists in four places, at three resolutions, and nobody can say which is approved
  • An outdated logo or an unlicensed image made it into a published campaign
  • Your photographer's WeTransfer link expired before anyone downloaded it
  • Onboarding a new marketer means half a day of explaining a folder structure
  • A colleague left, and the knowledge of where things live left with them

Two or three of those sound familiar? Then you're already paying for a DAM, just in time instead of licence fees.

One more thing worth knowing: team size matters less than asset turnover. A five-person communications team at a festival that shoots 30,000 photos in a weekend has a much sharper problem than a fifty-person company that publishes twelve images a year. The comparison your team will actually face is the first row. Why SharePoint and Google Drive stop working as a media library goes through it properly, because "we already have SharePoint" is the single most common sentence that stalls a DAM project.

Two neighbouring terms describe the same discipline from a narrower chair: brand asset management is the DAM layer that keeps everyone on the approved logo and template, and marketing asset management is DAM scoped to a marketing team's campaign workload.

The folder problem

Nearly every team that outgrows a shared drive outgrew it for the same reason, and it's worth understanding, because it explains most of what a DAM does differently.

A folder tree encodes exactly one way of thinking about a file:

That path works perfectly for the person who created it, in the month they created it. It fails for the colleague who wants every photo of the Antwerp office regardless of year. Or every image cleared for print. Or every shot with the CEO in it. They have no path to walk. So they ask someone. And that someone slowly becomes the human index of the company's memory, which is a terrible job that nobody applied for.

A DAM removes the single path and replaces it with attributes. The Antwerp photo is Antwerp, office, 2024, Q3, campaign launch, print-cleared and contains CEO, all at once. Every one of those is a route to the file. Nobody has to guess how the person who filed it was thinking that day.

This is also why the first instinct ("let's recreate our folders in the DAM") undermines the whole tool. Carry the tree across and you carry the problem across.

What actually changes in practice

The measurable effects show up in four places.

Retrieval time. Finding an asset drops from minutes-plus-a-question to seconds. But the compounding effect isn't the seconds. It's the requests that never get made, which means the colleague who would've been interrupted keeps their afternoon.

Reuse. Teams reshoot content they already own because they can't find it. A searchable library turns your back catalogue into inventory. Westmalle's century of brewery photography is only an asset because it's findable.

Risk. Expired model releases, unlicensed stock, superseded logos and pre-rebrand material stop circulating when the library can retire them centrally. That matters more every year; see GDPR, EU data residency and the AI Act.

Speed to publish. For anything time-sensitive (an event, a launch, a crisis response), the bottleneck is almost never production. It's the handoff. Cut the handoff from a day to an hour and a small team starts punching well above its weight.

What a DAM won't fix

Being honest about this saves projects, so let's be honest.

A DAM will not clean up your library for you. Migrate 90,000 files with no metadata and you get 90,000 unfindable files with better search syntax. AI tagging helps enormously, but it describes what's visually in an asset. It can't know your campaign names, your rights agreements or your internal vocabulary. Someone has to define that once. How to migrate to a DAM is largely about doing that work in the right order.

A DAM also won't create governance where there's no owner. Someone has to decide what "approved" means. The software enforces the decision; it doesn't make it.

And a DAM is not a backup. It's a working library with resilience behind it, but disaster recovery is a separate conversation to have with your provider.

How to evaluate one

Two questions cut through most vendor demos.

Can a colleague who has never seen the system find a specific asset in under a minute, unassisted? Not the administrator. Not the person who ran the implementation. A regular user, with a real request, on their first try. If the demo only works when you know the taxonomy, the taxonomy is the product's problem, not the user's.

What happens when 300 people need an asset and only 8 of them work here? Distribution to partners, press, resellers and the public is where per-seat pricing quietly gets expensive. Check how external recipients are counted before you check anything else.

Do we still need folders?

Not as the primary structure. Most modern DAMs support collections, workspaces or albums for curation, but the system of record is metadata and search. Teams that rebuild their old tree inside a DAM generally report the same problems they had before.
